Describe the requirement

Include product names, quantities and any sizes, capacities or colours you require. If alternatives are acceptable, state which details are essential and which can change. Put multiple items into one enquiry when they need to arrive for the same project.

Separate products from extras

Request an itemised quotation showing the goods, branding where required, any setup charges, applicable VAT and delivery. Ask whether accessories shown in photographs are included. Compare packing units carefully, especially when one supplier quotes per unit and another quotes per box.

Share delivery details early

Provide the destination, contact person, receiving hours and any site-access instructions. Let the team know if the order is for a fixed event date. The quotation process must confirm availability and achievable timing rather than treating your preferred date as a guarantee.

Keep the reorder record

Save the approved product names, supplier specifications, artwork and order reference. For a repeat order, check that the item and its options remain available. A familiar product name does not remove the need to confirm current pricing, packing and delivery arrangements.
